Financial Fern is a service operated by Instantly Unique LLC, a Missouri limited liability company. In this policy, ‘Financial Fern,’ ‘we,’ ‘us,’ and ‘our’ refer to Instantly Unique LLC doing business as Financial Fern. Contact: fern@financialfern.com.
1. Scope
This Policy describes information processed when you use the Financial Fern website and application. It is not a certification of GDPR, CCPA, or other compliance frameworks.
2. Information you provide
- Account information: email address and password (your password is stored by our authentication provider).
- Profile and business information: display name, business name, and related workspace settings.
- Uploaded records: bank or card statements, receipts, and Amazon or Shopify order exports you choose to provide.
- Communications: messages you send to fern@financialfern.com.
3. Information created by the service
- Transaction and receipt records derived from your uploads.
- Match and category suggestions, confirmations, skips, and review-session history.
- Suggestions generated when Fern helps with matching or categorization.
4. Usage and device information
The application keeps you signed in using browser storage managed by our authentication provider. We do not currently integrate third-party marketing analytics or advertising cookies in the application. Hosting and platform logs may include technical details needed to operate and secure the service.

- Provide bookkeeping workflows (upload, match, categorize, review, reports)
- Improve suggestion quality from confirmations in your workspace
- Send transactional email such as welcome and password-reset messages
- Maintain security and respond to support or legal requests where required
6. Service providers
- Hosting: Vercel
- Authentication, database, and file storage: Google Firebase
- Email: Resend
- AI routing: OpenRouter, which may send requests to selected model providers
We do not currently integrate a separate marketing-analytics or error-monitoring product in the application. Platform logs may still exist with our hosting providers.
7. AI processing
Certain features send limited transaction, receipt or order information to OpenRouter and selected model providers to generate matching or categorization suggestions. Depending on the feature, that may include merchant, date, amount, description, candidate receipt details, your allowed categories, and relevant prior confirmations.
Financial Fern does not currently promise Zero Data Retention or that providers will not train on that information. Review this Policy and the providers’ policies for the current picture.
8. How we protect information
We use administrative, technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse or alteration. No online service can guarantee absolute security.
- Production traffic is served over HTTPS.
- Uploaded files are stored privately and accessed through signed-in Financial Fern features.
- Accounts use email-and-password authentication.
- Records are associated with your signed-in business workspace.
- Selected service providers process information only as needed to operate the service.
9. Data retention
We retain account information, uploaded records and related bookkeeping data while your account is active and as reasonably necessary to provide the service, comply with legal obligations, resolve disputes and protect the service. You may request deletion by contacting us.
10. Account deletion and export
To request deletion of your account and associated data, email fern@financialfern.com from the address associated with your account. We do not claim instantaneous deletion from all systems, including backups.
Portable account export is not currently available. Contact fern@financialfern.com if you need help obtaining information associated with your account.
11. International processing
Service providers may process data in the United States or other regions where they operate.
12. Your privacy rights
Depending on where you live, you may have rights to access, correct, or delete personal information, or to object to certain processing. To make a request, email fern@financialfern.com.
13. Children’s privacy
Financial Fern is intended for business use by adults. Users must be at least 18 years old and legally able to enter into a binding agreement.
14. Changes
We may update this Policy as the product or providers change. We will post the updated Policy on this page.
